Terms of participation and project rules

These terms of participation form the binding basis for admission, annual contributions, reporting duties, project access and the responsible handling of project data.

1. Terms of participation: character and scope

The European Fruit Dove Project is organised as a specialist project community and is not registered as an association in the German register of associations. These terms apply to persons and institutions applying for or receiving project access.

2. Start, duration and project structure

Project membership begins with explicit approval by the project management and continues until ended by the member or the project management. Access may be blocked or membership ended after review in cases of unpaid contributions or serious or repeated breaches of project rules.

3. Annual contribution and exemption

The annual project contribution maintained in the project centre is EUR 15.00. The regular subsequent contribution is currently due by April 1, 2026. As a rule, the full annual amount applies regardless of the admission date and is not calculated pro rata.

Members assigned the project function “Zoo representative” are exempt from the annual contribution for as long as that function applies. The exemption is derived from the current project function. Existing payment records and contribution history are retained.

4. Stock, breeding, individual birds and pedigrees

Members maintain their stock, breeding, individual-bird and pedigree data in the protected members area. These are confidential breeding data and are not visible to other ordinary project members. Access is limited to the member who owns or entered the data and explicitly authorised project administrators.

These records are not exposed as community activity or public member associations. Standard stock and breeding reports are generated without member names, email addresses, usernames or other direct personal member references.

5. Facilities use a separate publication contract

Breeding facilities are expressly excluded from the confidentiality rule for stock, breeding, individual-bird and pedigree data. Facilities continue to use the project’s separate publication and community contract; an existing publication approval is not automatically revoked by this change.

6. Origin certificates and specialist documentation

Origin and ancestry information for individual birds should be documented in a traceable way. Origin certificates should accompany birds when transferred and remain available for later specialist enquiries.

After membership ends, animal data required for origin records, breeding planning and specialist continuity may be retained in pseudonymised form. A protected link to the former person is restricted to specifically authorised project administrators. See the privacy policy for further information.

7. Transfers, wanted notices and project priority

Fruit doves intended for transfer should first be offered within the project before external placement. Offers and wanted notices should be updated or removed once they are no longer current.

8. User account and internal information

Personal login credentials must not be shared with third parties. Internal messages, documents, price recommendations and personal contact details may only be used for the agreed project purposes.

Technical access in the members area follows the assigned project roles and capabilities. A legacy “public” setting on stock, breeding, individual-bird or pedigree data does not override their confidentiality.

9. Images and project-related usage rights – editorial draft

Anyone uploading images to the members area or otherwise providing images to the European Fruit Dove Project confirms that they are entitled to grant the usage described below and that third-party rights are respected.

The European Fruit Dove Project is granted a permanent, non-exclusive right to use the supplied images for project-related purposes. Images may be stored permanently within the project, displayed and reused for project-related information, documentation and public communication. This right does not automatically end when a member leaves the project.

An actually supplied photographer or copyright credit may continue to be shown. Photographer or copyright information must not be invented automatically. After a member leaves, images may continue to be used, depending on the existing attribution and granted rights, either with the author credit or without a reference to the former member.

10. Missing reports, blocking and termination

Repeatedly missing required reports, overdue contributions for members who are liable to pay, or serious rule violations may lead to access being blocked or membership ended after review. Fee-exempt Zoo representatives must not be marked overdue or receive reminders for a contribution that is not due.

11. Changes and evidence of acceptance

Version 1.2 dated September 5, 2026 applies. Material changes require existing members to confirm the updated terms again.

Version, date, language, acceptance timestamp and a technical content hash are stored for traceability. Previous acceptances remain preserved in the history and are not silently overwritten.
